MINIMUM REQUIREMENTS:
 

A bachelor's degree from an accredited college or university and one (1) year of administrative experience. 
 

A master's degree from an accredited college or university can substitute for the required experience. 
 

Administrative or clerical experience can substitute on a year-for-year basis for the required college education. 
 

An equivalent combination of education and experience which equals five (5) years can substitute for the above requirements.

JOB DUTIES:
 

Provides administrative support for the Petroleum, Antifreeze, Brake Fluid and Metrology Laboratory Programs as directed by the Laboratory Administrator, QA/QC Coordinator and Laboratory Managers.
 

Prepares correspondence, updates template documents as needed and coordinates the gathering of information and dissemination of program specific records concerning inquiries and issues being handled by the Laboratory Programs. Provides telephonic and email assistance to contact and relay needed information between vendors, customers (internal/external) and laboratory personnel. Uses a personal computer to timely perform revisions and accurate typing of memoranda, correspondence, reports, records, statutes, rules, and other office documents. Creates and maintains a contacts list for the generation of correspondence. As needed or directed, inputs information into and/or researches and compiles information and statistics (including weekly and monthly reporting) from, databases used by the Laboratory Programs (DOCS, LIMS, AF/BF databases, etc.). Confers with and makes recommedations to supervisor regarding database issues and office procedures.
 

Acts as liaison between the Laboratory Administrator, the Laboratory Managers, supervisors in other bureaus/ program sections, and employees.  Maintains and distributes to staff current information on division policies and programs and processes routine matters within established policies. Assists laboratory personnel in keeping leave and attendance calendar current.
 

Serves as a liason with the IT section regarding repair and maintenance of computers, database troubleshooting and training and other related issues and questions. Works with the laboratory and IT staff to help remedy situations and resolve the situaitons efficiently and effectively.  Contacts the IT section to follow up on IT related issues for the laboratory programs.  Participates in meetings concerning IT issues related to laboratory operations, including databases and hardware.
 

Handles atypical situations when they arise, including, but not limited to, interactions with consumers, businesses, other program areas and other matters requiring attention. Attempts to handle non-straight forward situations requiring interpretation of department and office policies and procedures before taking to the supervisor, if necessary.  Employs phone skills in attempts to successfully resolve situations with dissatisfied customers and businesses before elevating them to the the supervisor, if necessary.
 

Performs special assignments and other administrative duties as needed.
